Obtaining Exam Data

Obtaining and Using OMS Data Files

OMS services include a variety of standard reports that meet user needs for results of tests and questionnaires. For some purposes, files of raw data such as in grade book, spreadsheet or statistical programs on a desktop computer may be needed for further processing. All report packages include one electronic transfer of raw data. OMS now has the capability to send all of our standard reports electronically in a PDF file. If you would like electronic reports, please contact OMS. For a minor additional charge, OMS can deliver data files on floppy disks or on a CD-R disc. If you receive your report electronically, you will be invoiced for the report and electronic copy.

File and Record Structure

OMS data files contain three types of records: header (H), key (K), and detail (D). The type of record is specified by the appropriate letter identifier and is located in location 3 of each record. There is one header record at the beginning each file. The header record is generated by scanning an identification sheet at the beginning of each batch of answer sheets.

If the file contains scored test records, the second record is the test key. There may be as many as 5 key records, one for each part-score key. The keyed responses appear in locations 101-316 of the key record(s).

The detail records, one for each answer sheet scanned, contain the information recorded on the answer sheets and the scores resulting from the scoring process.

Record Layout Model

The following are record layouts for the 5-response, 216-item general-purpose answer sheet.
Record information:

  • 320 characters long.
  • Information in the first 26 characters is generated during scanning and is of interest primarily for scanning control.
  • Locations 27-77 contain information from the gridded sections of the answer sheet.
  • Scores are recorded in locations 81-100.
  • Item responses are in locations 101-316.
